Provenance: The Story Behind Your Genealogy Records

There’s a very important story behind each one of your genealogy records. In this video and article we discuss why it’s critically important to understand the provenance of each record. We also talk about specific things to look for as you analyze their meaning. Great genealogy research requires a great understanding of the story behind your genealogy records! The story behind your records includes many important areas to be considered:

  • Provenance / History
  • The reason for the record
  • Information source (primary vs. secondary)
  • Motivating factors of the informants

Let’s take a look at each of these.

Provenance

In the art world,  knowing the provenance of a piece is crucial to understanding its value.

Provenance looks at an object’s origins, history, and ownership. Investigating and analyzing the provenance of a piece can shed light on:

  • whether the piece is authentic,
  • whether it truly was created by the attributed artist in the stated timeframe,
  • What the value of the item might be.

The Story Behind the Records

Provenance is important because it helps us determine how much weight to give the information provided by the genealogical record.

We need to ask When and where was the record created? We are looking for:

  • Records created closest to the time of an event
  • Documents created in places associated with your relatives
  • Documents created by people who knew them or were authorities

Review the Record’s Source Information

It’s important to take the time to review the available source citation information for each record we use. Fortunately, many genealogy websites that provide access to the records of our ancestors also provide critical background information about that record. This can help us find the answers to our questions and help us evaluate how much credence to give the information.

Sometimes it just takes a little digging to uncover the backstory on a record. For example, the census enumerators received detailed written instructions before being sent out into our ancestors’  neighborhoods to collect data. You can review digitized copies (or transcriptions) of those instructions at the United States Census Bureau website for all years of the decennial census except 1800 through 1840.

Finding Aids

Whether you’re researching at home or in an archive, look for or ask for the finding aid or reference guide for the collection you are using.  

A finding aid may include the following sections:

  • provenance
  • how the materials were used
  • contents / physical characteristics
  • restrictions on use
  • scope and contents note, summary and evaluation
  • box or file list

The same holds true for objects that are passed down through the family, whether it be a family Bible or a transcript of a reminiscence you find online.

Records as a Whole

Whenever possible, consider a source as a whole. It’s tempting to want to zero in on the paragraphs or photos that interest you most, but you may miss out on important information that changes what this source has to tell you.  For example, the specific placement of a photo in an album can be as significant as the printed photographic image. A photo’s position can indicate the relationship of the people in the photo to others on the same page, or the timeline of events.

Does the record appear complete?

Take note if any part of the source appears to be missing or illegible, especially if it appears that some of it has been deliberately removed, erased, or crossed out.

You may be able to make more sense of the partial information—or take a guess at why it was removed—as you learn more about the family. There may be a perfectly innocent reason for the change. But you may also be seeing evidence that someone who wanted to erase unpleasant memories or conceal a scandal.

Where has the item been over the years?

Where the source has been kept over time and who possessed it is an important part of provenance. Try as best you can to reconstruct and document the chain of custody of the item.

Is the record the original?

Whenever possible, consult the original version of a genealogical record. Indexes, typed-up copies, or abstracts may not be as complete or accurate. Remember, handwritten or typed copies of older originals may have been made in the days before photocopying technology.

The Story Behind the Document: Motivating Factors

Another important question to ask about a record is Why was the record created? Understanding the motivation of the person, organization or governmental agency creating the document can help you anticipate their possible bias. It can also provide clues regarding information that you would expect or hope to find, but don’t. While the information may seem important, it may not have fallen within the scope of the original intent. Therefore, you may need to look for additional records that can help fill in the gaps.

Tax lists provide an excellent example of why we need to understand the motives and scope of the records we use. When reviewing a tax list, we need to determine if the government was taxing real or personal property and if it was including every head of household or just adult males.

Why was the information provided?

The original purpose of a source is highly relevant to how much faith you put in its contents. Here are a few examples of why the information provided might not be totally accurate:

  • A woman might have altered her testimony in divorce proceedings in an effort to minimize damage to her own reputation and future.
  • Newspaper articles may be filled with a variety of biases by the author, publisher, or those being interviewed.
  • A man may have lied about his age or citizenship on a draft card, either to avoid military service or in order to be included despite being underage.

Comparing the record with similar records can help reveal where the truth lies.

Who was the informant?

The information on a record is the person who supplied the information. Sometimes this is the same person who created the record, such as the writer of a diary. In the case of a U.S. census, the informant is the person in a household who told the census enumerator about the people who lived there. In many cases, it’s impossible to know who the informant was. Thankfully in 1940, census enumerators were instructed to mark the informant with a circled “X,” as shown in these two households. This is just another example of the value of doing 

Reliability of Informants

A source may have multiple informants. Each may have had unique knowledge of the situation. For example, on a death certificate a relative may provide the personal information while a physician provides the death-related information.

If the informant shares the deceased’s last name they:

  • likely are a relative
  • likely had first-hand knowledge of the deceased’s marital status, spouse’s name, and occupation.
  • (if father or brother) likely have provided primary information relating to the deceased’s birth, and parents’ names.

Even when a relative is close, we need to stop and think about whether they knew the information because they experienced it first-hand or were told about it. For example, if the informant was the deceased’s father, the  information about the deceased’s mother (his wife) such as birthplace would actually be secondary since he presumably wasn’t present when she was born! And that leads us to understanding the difference between primary and secondary sources and information.

Primary & Secondary Information

Historical evidence can either be considered primary or secondary information. Genealogical scholar Thomas W. Jones defines these terms in his book, Mastering Genealogical Proof:

  • “Primary information is that reported by an eyewitness. Primary information often was recorded soon after the event, but it may be reported or recorded years or decades later.
  • Secondary information is reported by someone who obtained it from someone else. It is hearsay.”

Interestingly, the same document can include both primary and secondary information. It helps to think in terms of primary and secondary information instead of striving to designate the source document as primary and secondary. 

How do all these clues add up?

It’s clear that as genealogists our goal is not only to evaluate each family history source, but also each piece of information it provides. Asking the right questions helps us ultimately answer the all-important question: how much do you trust what this record is telling you?

From Lisa: It’s really a matter of how much time you have. I would lean toward transcribing them into Excel spreadsheets that can then be searched and sorted, including a column to indicate the relationship (friend, co-worker, relative, etc.) Store the books in an archival-safe box like this one.

From Mary P.: ​I’m back, can you help with this project? My grandfather built two houses in Garwood, NJ about 1920. I’d like to find information on their construction and owners/renters over time.

Scott from Oakland Maine:I am in need of some advice regarding an un-cooperative family member.  My father’s brother wants nothing to do with our family, and in years past once referred to himself as the “black sheep”.  He has absolutely no interest in genealogy and is not at all willing to be a part of the family story that I am putting together.  My question is, how do I reference this character in my tree.”

Lisa’s Answer: I imagine every family has a tough nut on a branch of the family tree!  I’m a firm believer in the truth, and what I would do if it were me is to include basic data (that is publicly available) on him on my private, personal family tree. On trees and other info you make available publicly, (such as an online family tree) I would list him and his immediate family only as “Living” and whether they are male or female. In the end you have to do what seems right for you.

From Glenn:Just wanted to say a quick thanks for both podcasts you produce…I’ve been interested in the Family History for some time…Recently my interest has arisen again, of course I have made classic mistake in not documenting everything, and just collecting names, dates and so forth.  So in the last 6 months I’ve been citing sources and updating the database. One of the quandaries I have is when do you stop, not so much vertically, but how wide do you go, in relation to cousins, second cousins and families? Probably the main question I have is trying to decide whether to get a subscription to Ancestry.com or not, I feel I’m at that stage where online document will help out, in filling in the leaves on my branches.”

Lisa’s Answer: Go as wide as you want and are interested in. I would recommend adding basic info for someone you find who you won’t be pursuing, so that if down the road you run in to a brick wall and you need to do some cluster research or reverse genealogy, you will have new leads to follow. RE: Ancestry – I think you will find that Ancestry membership is a very cost effective and time saving way to do your research. Mine has been invaluable. Returning Orphaned Heirlooms to the Family

custom_text_present_14586Recently my Premium Podcast included a letter from Pat, who was looking for advice on how to return lost or orphaned heirlooms to a family. Ancestry.com had a few family trees posted. Pat didn’t know “whom to contact to get the materials to the most interested, closest family members.” This was my advice–and here’s the inspirational report back.

My advice:

I would first focus on the tree where the tree owner is most closely related to the folks mentioned in the memorabilia. I would probably make copies (depending on what the items are) and offer to all. If I didn’t get a confirmed answer from the first choice in a reasonable time I would offer to my second choice. I would ask the recipient to allow me to pass their contact info on to any others who get around to responding after the fact since it’s everyone’s “family”.

Pat’s response:

“I finally took up the challenge, determined to find a family and offer up the material I had recovered. This material contained old (labeled!) photos, school records, dance cards and letters home to Mom and Dad and seemed potentially quite precious.

It proved difficult to determine which family seemed to have the closest connection, so I decided to offer the material to the person whose Ancestry.com tree contained the most (valid) sources. Fortunately, the tree owner was quick to respond, eager to receive the materials I had to offer. I sent them off and the tree owner is delighted as she is the granddaughter to the original party and believes herself to be the only living descendant of that person!

Mailbox question from Beginning GenealogistIt feels just right to get those materials back “home”!  I encourage other listeners to do the same.  It produces a great sense of genealogical balance.  So many others have done blessedly wonderful things for me in my research, making it easy to pay it forward just a little bit.

Questions Asked in the 1950 U.S. Census

What questions were asked in the 1950 census? In this week’s video I’ll explain what was asked, and how the answers given can help provide clues for additional research about your family. You’ll also learn what was not asked and which questions were asked for the first time in 1950. Then we’ll wrap up with my Genealogy Pro Tip for the 1950 Census.

We’re all looking forward to the 1950 census coming out in April 2022, followed soon after by the searchable index. But before we dig into it, it’s helpful to know what kinds of questions were asked and what kind of information you can expect to find about you, your parents, your grandparents or even your great grandparents.

The U.S. Federal Census is taken every 10 years here in the United States. Typically in genealogy we see more and more questions being asked each decade, which is awesome for us as family historians. But did you know that the 1950 population questionnaire actually asked FEWER questions than its predecessor in 1940.

Yep, according to the U.S. Census bureau, in 1940 every household was asked 34 questions. However, in 1950 they were asked just 20 questions. As we go through the questions I’ll let you know what’s the same, what unfortunately you will NOT being seeing, BUT also the few NEW questions that were asked.

Questions Asked on the 1950 U.S. Federal Census Questionnaire

The following questions were asked of everyone in the household.

1. Name of street, avenue or road where the household is located

2. Home or apartment number

3. Serial number of dwelling unit

4. Is this house on a farm (or ranch)?

5. If no, is this house on a place of three or more acres? (New question for 1950 thanks to the expansion of suburbia.)

6. Corresponding agriculture questionnaire number

7. Name

8. Relationship to head

9. Race

Census takers were instructed to assume that all members of the related household were the same race. For unrelated people they were to ask. And if you see a description you are unfamiliar with, consult the 1950 census enumerator instructions.)

10. Sex

11. How old was this person on his last birthday?

It was expected that there would be some folks who either didn’t know their exact age or didn’t care to share it. Census takers were instructed to try to zero in and get as accurate as possible. If age wasn’t known, they were instructed to enter an estimate as the very last resort, and footnote that it was an estimate.

12. Is this person now married, widowed, divorced, separated, or never married?

Marriage codes found in this column:
MAR = married
WD = widowed
D = divorced
SEP = separated
NEV = never married. People under the age of 14 were automatically labeled as never married. Also, common-law marriages were reported as Married, so while marital status can be an indicator to look for marriage records, it is possible that there may not be any.

13. What State or country was the person born in?

It’s important to note that if the baby was born in a hospital across the state line, they were reported as being born in the state where the family lived. This is important to keep in mind when hunting for birth certificates.

14. If foreign born, is the person naturalized?

This will be a yes or no. But if you see “AP” it means the person was born of American parents abroad or at sea. Also, if born at sea they were an American citizen if their father was, or if they were born after 5/24/1934 and either parent was American.

Before we get to the last six questions which were asked only of people 14 years of age and older, let’s take a look at the questions you might have expected to see that were asked in the previous 1940 census but were not.

Questions Not Asked in the 1950 Census that Were Asked in 1940

These questions include:

  • Home owned (O) or rented (R)
  • Value of home or monthly rental if rented
  • Attended school or college at any time since March 1, 1940?
  • Highest grade of school completed
  • Residence, April 1, 1935
    • City, town or village having 2,600 or more inhabitants. If less, enter “R”
    • County
    • State (or Territory or foreign country)
    • Farm?

Questions Asked in the 1950 Census of People Over the Age of 14

You may be wondering why the last 6 questions of the 1950 census were only asked of people over the age of 14. It’s because these questions were about employment status. Not surprisingly, these questions vary a bit from what was asked about in employment in 1940, but they are pretty similar.

  1. What was this person doing most of last week – working, keeping house, or something else?

Employment Codes used in questions 15:
WK = working
H = keeping house
U = unable to work
OT = other

16. If the person was “keeping house” or “something else” in question 15, did the person do any work at all last week, not counting work around the house? (Including work-for-pay, in his own business, working on a farm or unpaid family work)

17. If the person answered “no” to question 16, was he looking for work?

18. If the person answered “no” to question 17, even if he didn’t work last week, does he have a job or business?

19. If the person was working, how many hours did he or she work in the last week?

20. What kind of work does the person do?

    • What kind of business or industry is the person in?
    • Class of worker the person is.
      • Enumerators were to mark “P” for private employment, “G” for government employment, “O” for own business, or “NP” for working without pay

Here’s an example of an entry you might see for someone’s employment: Jewelry, Salesman, P. Armed forces was used for all types of military service.

The one glaring omission in 1950 is questions about whether the person worked for one of the government program  such as the Works Progress Administration known as the WPA or The Civilian Conversation Corp known as the CCC. This actually makes sense because these employment programs were focused on helping the unemployed during the Depression. WWII had most Americans working and doing their part in some fashion creating low unemployment. Therefore, the WPA was ended in 1943.

Genealogy Clues in the 1950 Census

Let’s quickly recap what you will learn from the answers to the questions asked during the 1950 census that can help you learn more about your family history:

You’ll see the names of your relatives and ancestors, where they lived and the relationships within the family.

You’ll find out where they were living and get the actual address. You can then use this information to find old maps, search city directories and learn much more about their neighborhood and their lives.

If your relatives lived on a farm you’ve got another genealogy gem to find which is their listing in the Agricultural census. Remember the population enumeration, the one counting people, is just one of the enumerations that was conducted. The 1950 population enumeration will give you the number where you can locate them in the agricultural questionnaire.

You’re also going to learn your relative’s age which will get you even closer to determining their birthdate. This in turn will help you locate their birth records. You will also learn the state or country where they were born.

If they were foreign born you will find out if they were naturalized. It’s a little disappointing that it doesn’t tell us the year of immigration or naturalization. However, a “yes” in the “is the person naturalized” column does provide you with an excellent clue to go look for those naturalization records. Will the 1950 census also have the children born to mother/children still living question?

The answer is, maybe.

Genealogy Pro Tips

Pro Tip: Keep an eye out for additional questions.

As in 1940, 5 percent of the population were asked an additional slate of questions. This was to provide sample data about the population. One of those questions asked was “If female and ever married, how many children has she ever borne, not counting stillbirths?”

Supplemental Questions Asked in the 1950 Census

Here are the additional questions that were asked of just 5% of the population in the 1950 U.S. Federal Census. (Note: They were asked of all ages.)

21. Was the person living in the same house a year ago? If the answer was no, then…

22. If no to question 21, was the person living on a farm a year ago?

23. If no to question 21, was the person living in the same county a year ago?

24. If no to question 23…

    • What county (or nearest place) was he living in a year ago?
    • What state or foreign country was he living in a year ago?

25. What country were the person’s mother and father born in?

26. What is the highest grade of school that the person has attended?

    • Enumerators were to mark “0” for no school; “K” for kindergarten; “S1” through “S12” depending on the last year of elementary or secondary school attended; “C1” through “C4” depending on the last year of undergraduate college education attended; or “C5” for any graduate or professional school.

27. Did the person finish this grade?

28. Has the person attended school since February 1st?

    • Enumerators could check a box for “yes” or “no” for those under thirty; for those over thirty, they were to check a box for “30 or over.”

For members of the household who were 14 years and older, they also answered these questions centered around employment details, money, military service previous marriages and the question Suzanne is hoping to have answered – children born to women in the household.

29. If the person is looking for work, how many weeks has he been looking for work?

30. Last year, how many weeks did this person not work at all, not counting work around the house?

31. Last year, how much money did the person earn working as an employee for wages or salary?

32. Last year, how much money did the person earn working at his own business, professional occupation, or farm?

33. Last year, how much money did the person receive from interest, dividends, veteran’s allowances, pensions, rents, or other income (aside from earnings)?

34. If this person is the head of the household: last year, how much money did his relatives in this household earn working for wages or salary?

35. If this person is the head of the household: last year, how much money did the person earn working at his own business, professional occupation, or farm?

36. If this person is the head of the household: last year, how much money did the person receive from interest, dividends, veteran’s allowances, pensions, rents, or other income (aside from earnings)?

37. If male: did he ever serve in the U.S. Armed Forces during…

    • World War II
    • World War I
    • Any other time, including present service

38. To enumerator: if the person worked in the last year, is there any entry in columns 20a, 20b, or 20c?

39. If yes, skip to question 36; if no, make entries for questions 35a, 35b, and 35c.

      • What kind of work does this person do in his job?
      • What kind or business or industry does this person work in?
      • Class of worker

40. If ever married, has this person been married before?

41. If married, widowed, divorced, or separated, how many years since this event occurred?

42. If female and ever married, how many children has she ever borne, not counting stillbirths?
