Genealogy Records Just Keep Coming Online! (and we love it!)

If there’s one thing we want to see coming online every single day, it’s new digitized genealogy records! A genealogical brick wall that has been sitting dormant for years can be broken down if just the right records becomes available. And we never know when that will happen.

This week I’m sharing some of the genealogy records that have come online in the last few weeks. These records comes from across the United States. They include wills and probate, police and mug shots, and cemetery records. Perhaps your ancestor’s record is among them.

Wills and Probate Records

Do you have ancestors’ from Maryland? Search this collection of Wills and Probates at Findmypast to find out the date of their Will.

As confirmed in the introduction of the publication, the Maryland Calendar of Wills was compiled in response to an already “long existent and steadily increasing need for such work, a need not only of genealogists, nor only for Marylanders now living in the State, but also for the large class of persons, whose ancestors are to be numbered among the men and women who took part in the nation-building as begun on Maryland shores, and whose descendants are now to be found in every State of the Union.” 

Each record is available in a PDF format. Use the previous and next buttons at the top of the page to browse through the publication.

The General Index of Wills of St. Mary’s County, Maryland, 1633 to 1900 was compiled by Margaret Roberts Hodges from original indices, the collection of records were published by the Carter Braxton Chapter of the Daughters of the American Revolution.

You can also Search this index to more than 107,000 probate records from Maryland between 1634 to 1777 for transcripts and images of both Prerogative Court and County records. The amount of information listed in each record will vary but looking at images is always recommended.

Preceding the implementation of the first Maryland State Constitution in 1777, two sets of probate records were maintained, probate business was conducted at the capital by the central agency which, for most of the Colonial period, was known as the Prerogative Court.

The Commissary General was the presiding officer of the court and a Deputy Commissary was then appointed for each county. The Deputy Commissary recorded each probate record that was brought into their office, periodically they would send the papers filed in their office to the Prerogative Court where they would be recorded again.

Mugs Shots and More Going Back 150 Years

Records from the Indianapolis Fire Department and the Indianapolis Metropolitan Police Department have been digitized and are available online.

Thanks to a $1.8 million grant from the Lilly Endowment, The Central Library in Indianapolis recently unveiled the collection, which includes some items dating back 150-years.

The items have been added to an existing collection of from the Indianapolis Firefighters Museum and include:

  • log books,
  • dispatch recordings,
  • personnel records,
  • newsletters,
  • historical photos and
  • prisoner mug shots

IMPD Deputy Chief Michael Spears said “The City of Indianapolis has a police department of which it can be extremely proud. This collection is the most complete and definitive collection of documents, photographs, videos and other exhibits ever compiled.”

“The Indianapolis Fire Department has a rich and proud 160-year history, and through our partnership with the Indianapolis Public Library, we are preserving that history for future generations,” said Tom Hanify, Professional Firefighters Union of Indiana President.

Military

The Department of Veterans Affairs and National Cemetery Administration has created a new platform that creates digital memorials for all veterans in national cemeteries.

According to the website, the Veterans Legacy Memorial is “an online memorial space for Veterans managed by the National Cemetery Administration (NCA) of the U.S. Department of Veterans Affairs (VA). NCA manages 136 national cemeteries as shrine spaces to honor our Nation’s Veterans and extends memorialization of the 3.7 million Veterans interred in NCA cemeteries to this digital memorial space, providing a VLM profile page for each.

To find the memorial profile of a Veteran, please enter the name of your Veteran in the format of First Last with no commas (“John Doe” not “Doe, John”). To search with additional information (branch of service, cemetery name, etc.), please click on Advanced Search.”

Do you have an ancestor who lived in Colonial America when the Revolutionary War was fought, or perhaps earlier in Jamestown, Virginia? Does your ancestry extend back to New England when the Mayflower arrived? If so, there are various lineage societies you could consider joining:

family history video documents applying to lineage societiesWhile each organization has different requirements for their lineage society application, most have the same principles: prove a connection from yourself to the person of interest by use of vital records (where available). Where not available, other documentation that proves family connections can be used. (DAR now also accepts DNA evidence.)

You may not know that most societies allow you to “piggy-back” on applications they have previously accepted. Let’s say your second cousin Steve already joined a society based on your common patriot (or pioneer) ancestor, Alexander Smith. You would just need to provide documentation proving your connection to your parents, your relevant parent’s connection to his/her parents, and your relevant grandparent’s connection to your common great-grandparents, who were already mentioned in Steve’s application. You may then be able to reference Steve’s application for the remainder of the lineage going back to Alexander Smith.

Overall, this may sound like a simple process. But it often takes quite a bit of work because the records needed to prove each generational link are not always readily available–and sometimes they just don’t exist at all.

Why get help when applying to lineage societies

Below are five ways that a professional genealogist can help you apply to lineage societies:

1. Help you determine how to apply. As we mentioned, each lineage society has different requirements, so you’ll want to be sure you know what they expect in order to be as efficient as possible in gathering documentation. A professional can help you determine exactly what documentation is required and locate contact information for those with whom you need to work to submit your application.

2. Identify where your research should stop and start. There is no need to reinvent the wheel, as the saying goes. If your lineage ties into one that has already been acceptably documented by another member of the society, you should use it! A professional genealogist can help you identify any previous lineage society applications that have already been approved for your lineage. This single step can save you a lot of time and money.

3. Organize your information. A professional genealogist can work with you to determine what documentation you already have and what you will need to order. They can help you order copies of missing vital records or find acceptable substitutes in archives, libraries, and online.

Many times, at least one ‘problem’ generation requires in-depth research, circumstantial evidence, and a proof summary in order to make the connection. A well-written proof summary explains how all the circumstantial evidence fits together to support the generational link, and often aids the applicant in obtaining membership when not enough concrete documentation is available (or when it conflicts). This often involves delving into land records, tax lists, probate records, and other more obscure sources to find any and all clues and pieces of information that can be used to tie two generations together. It can be a time-consuming task. A professional genealogist can do this efficiently and thoroughly.

5. Compile and present all records to the lineage society for admittance. You’ll be the one to present or submit your documentation, but professionals can help you get it all ready so that you’ll be as prepared and organized as possible.

Archivist Question #1: What kinds of records can I find in an archive?

This is a great question that I never get tired of answering! Every archive is different in what records they have in their collections. That is why it is very important for genealogists to contact the archive and ask them about the various records they have available. I can tell you that archives have records that are unique, not online and just waiting for the genealogist to discover them. You can find records like photographs, oral histories, scrapbooks, store ledgers, and so much more.

Archivist Question #2: Why do I need to wear gloves when handling photographs?

When handling photographs, archivists almost always ask researchers to put on a pair of gloves. The reason for this is because the oils and dirt on our hands can transfer to photographs and will eventually damage the photographs. Wearing gloves ensures that damage will not occur but genealogists still get to enjoy holding original family photographs.

Archivist Question #3: What is a finding aid?

A finding aid is the “road map” to a manuscript collection. The finding aid lists what is contained in the collection and is arranged in a folder-by-folder, box-by-box listing. When accessing manuscript collections at any archives, the finding aid will help the genealogist know what is in the collection.

Archivist Question #4: Are there family histories in the archives?

Yes! Family histories are found in archives. Many of these family histories are in the form of family group sheets, compiled family histories, and even whole collections of family histories that have been donated to the archives. These family histories can be found in the vertical files collection or manuscript collections. When doing research at an archive, genealogists need to ask the archivist about family histories.

Archivist Question #5: Why aren’t all records in the archives digitized and online?

This is a question that I get all the time by genealogists who can’t travel to the archives but want to see the records. I wish all the records in all archives could be magically digitized and put online but the truth is that it takes money, equipment, and staff hours to digitize the vast amounts of records that are in all of our archives. While there are more and more records coming online every day, there are still records that may never be online and will need to be accessed at the archives.

Cookies for My Descendants!

My grandson loves Super Mario games and specifically the mascot Mario. (Actually both of my grandsons do!) So, when it came time to create a sweet treat for his birthday, I opted for sugar cookies decorated as Mario.

Normally I would use a cookie cutter to create a decorated character cookie. Unfortunately, the local craft stories didn’t carry the Mario cutter, and I didn’t have time to get it ordered and delivered.

I hit a cookie decorating brick wall.

But brick walls, whether in genealogy or cookie decorating can often be overcome.

When we come face to face with a brick wall, we need to assess the situation, seek additional advice, and assemble the appropriate tools.

In the case of ole Mario, I first found a drinking glass just slightly larger than the size I wanted the cookie to be. It worked well as a cookie cutter, but I later decided to improvise a cookie cutter of my own.

To create the cookie cutter, I copied an image of his face into a Word document, and then enlarged it to the size of a cookie and printed it out on a sheet of paper. I carefully cut the image out, and then placed the cut-out on a sheet of wax paper, drawing around the edges and then cutting it out.

Next I found a good, sharp paring knife. I placed the wax paper template on the rolled-out cookie dough and carefully cut around it with the paring knife. Brick wall busted!

Are you a cookie cutter genealogist?

All this cookie cutting and problem solving got me thinking about genealogy. (Ok, I admit it – I’m always thinking about genealogy!) It brought to mind an email I received just the other day from a listener, Kristine, who described herself as a “cookie-cutter” researcher.

I really admire how Kristine took an honest look at her current research techniques. She was open to acknowledging that she had more to learn. It’s just  icing on the cake for me that she started listening to the Genealogy Gems Podcast.

It’s easy to become a cookie-cutter genealogist in today’s automated world.

Every day more and more is being done for us automatically. Genealogy record hints and matches on genealogy websites is just one example. These can be very effective tools, but they can also lull you into a false sense that the work is done or correct.

An accepted record hint can in no way be considered as work that is done or correct. It is only the beginning.

In Genealogy Gems Podcast episode #232 professional genealogist and lecturer Elissa Scalise Powell and I discussed the pitfalls of “shallow research,” or as Kristine described it, being a “cookie-cutter” researcher.

Elissa says that while we will find a lot of “low-hanging fruit” in the early days of our genealogical search, there always comes a time when we need to dig deeper. All genealogists will need to stretch and reach for other sources. These types of sources are:

  • not straightforward,
  • possibly unknown to you at this time,
  • not easily accessible,
  • time-consuming to explore,
  • take study to understand it,
  • not self-explanatory.

Moving Beyond Cookie Cutter Genealogy

I also recently I received a question from a reader that provides a great example of a scenario where it’s time to move on to these rich and yet more challenging sources. Harold writes:

I have a totally “back to basics” question. 

Since I started seriously doing genealogy about 8 months ago, I’ve learned a tremendous amount about my ancestors…families going back as far as those covered in the 1850 census and since then. 

But once you get to the 1840 census and earlier, I do not understand how any genealogist can use the meager records in the census, that only identify the head of the family and the number of adults and children living in the household, to any sense prove that they are your ancestors, or to find their predecessors who are likely to have lived in another state.

After all, in those days, often maiden aunts, grandparents, and others stayed with families, so you can never be sure who all the people are.

And they had a dozen kids, not all of whom survived.

So you cannot count on just the “number” of people listed in the 1840 census to prove anything.  Even worse, my ancestors, and I think most people’s, seemed to be moving westward every generation from the establishment of the colonies, so there are dozens of states to choose from, and hundreds or thousands of people with the same surnames in them.

I believe I have found the name of my great-grandfather on an 1840 census in Ohio (though it is possible it is just a duplicate name), but there is no telling where he lived in 1830 or earlier. 

As far as I can tell, my ancestors were all poor dirt farmers, moved westward every generation, and didn’t have any records of stores or businesses they might have owned that would have those kinds of records. Yet, there are people who claim they can trace their ancestry back to the Mayflower and the like, but I do not understand how anyone can legitimately trace their ancestry back prior to 1840 unless they have something like a family Bible or similar transcription kept in the family.

Sure, you can find names on earlier census, but lots of people have the same name, and lots of names are spelled wrong, etc. and there are a lot of states and territories to choose from.

So how can ANYONE claim they can PROVE their ancestry from 1840 and before? 

The “cookie cutter” Harold was using was the U.S. Federal Census. Cookie cutters provide great, consistent results, but over the decades the census cookie cutter shape changes. The check marks don’t provide the same level of details that we find in later enumerations.

For example, the 1850 U.S. Federal Census provided the name, age, and gender of everyone in the family. It also provided valuable and identifying information such as occupations and place of birth.

Just ten years earlier, the 1840 enumeration looked dramatically different:

As Harold lamented, in 1840 we only find the name of the head of household, followed by the number of people in the household who fell within a certain age range. There’s still valuable information here, but clearly not as detailed as later enumerations.

So, the general answer to his question is that he is right, from 1840 on back you typically cannot rely just on census records. 

However, it is indeed often possible to reliably take your family tree further back in time.

Genealogical research at this point in history requires deeper cross-referencing of the types of sources that Elissa referred to in the podcast episode. Examples of these sources include wills and probate records, land deeds, homestead records, tax records, marriage records, old newspapers, compiled genealogies and more. They all play a part in piecing together a family tree.

Some of these records are available online. However, in many cases, you will use only the internet to help you determine where the records are held. Then you must access the records in person, by contacting the repository, asking a friend or fellow researcher in the area to copy it for you, or hire a professional genealogist in the area where they are held. 

Regarding Harold’s question regarding genealogists who are able to tie their family tree to the Mayflower, this is indeed possible. There is a lot of excellent documentation over the last few centuries on descendants of the Mayflower, so it is sometimes not that difficult to connect up an ancestor in your own tree with the descendant of the Mayflower. This can indeed take your own tree back much further. However, that’s a topic for another article.
