I Got Handed the Family Genealogy, Now What?

Inheriting genealogy is a big responsibility and can be a bit overwhelming. Even if you haven’t been fortunate enough to receive much from other researchers in your family, chances are your descendants will be faced with inheriting your research. That’s why this week’s Elevenses with Lisa episode 74 is for everyone!

As exciting as it can be to receive new genealogical information, it presents challenges such as:

  • figuring out if each piece of information is correct,
  • finding a way to process it and blend it into what you already have (or if you’re new to genealogy, what you DON’T have!)
  • finding a place to put it,
  • and making the hard decisions about what you can’t keep.

So in this video I’m going to share with you my top strategies that I’ve used myself more than a few times. So take a deep breath, grab a soothing cup of Chamomile tea, and let’s get started.

I’ve received many emails over the years from folks who have faced the challenge of inheriting genealogy research done by another family member.

“I am going through my family tree and have a question. My aunt spent a lot of time back in about 1985 and had a huge hardback book of printed up of the family tree. But I was told by a few family members that some of the information in it isn’t true. How do I go about doing my own research, and properly compare the info? I need to figure out what is right and what is wrong. This is fun, but frustrating at the same time. Thanks.”

Don’t Take Inherited Genealogy at Face Value

Accuracy (or lack thereof) can a real issue when we receive someone else’s work. We can’t just take it at face value, especially if the researcher did not cite their sources. There’s no way to know if an ancestor on their tree is truly your ancestor until you look at the genealogical source documents for yourself. If they haven’t listed which sources they used, you’ll have to go find them. The good news is that it should be a little easier to find them based on the information provided about the ancestor. Usually when you get a family tree from a relative, it will at a minimum include important dates like birth, marriage and death, and hopefully some of the places where those events occurred.

Jim inherited a large, compiled history book, but you may be fortunate enough to receive an entire lifetime’s worth of research. Well, some folks would feel fortunate, others may not! No matter how much you’ve inherited, the genealogical process remains the same: start with yourself and work backwards. It may be tempting to start focusing on new ancestors you see in the family tree you just acquired, but resist the temptation. We must always prove the relationships connecting us to each generation going back in time so we don’t end up adding someone to the tree who doesn’t belong there.

So let’s stop for a moment and go back to the beginning, when you first inherit your relative’s genealogy research. What do we do first?

Assess what you have inherited.

Jim received one big book. But if you’re like me you may have received boxes of items, many loose and unorganized.

I like to divide it up by families and place each pile into a separate bin, in chronological order as much as possible. I use clear stackable bins because you can see what’s inside. I’ve used these for years and never detected an ounce of damage. Damage is more likely to come from heat,  moisture and mishandling than stored undisturbed in a plain storage bin in a room temperature stable environment such as a closet.

Use 3×5 white index cards to label each bin. Use a medium black sharpie pen to write the family surname in large bold letters, and place the card inside the box at one end facing out. You will be able to see it through the clear bin. You can also simply tape it on the outside of the bin.

You’ll also need one location where all the bins can be stored until you’re ready to work on them. A spare closet or even under a bed can work. The important thing is they are all together undisturbed and easily accessible. Once items are sorted and stored, you can then pull out one bin at a time to work on.

If your inherited genealogy appears to be well organized, such as in scrapbooks, keep it in context. Don’t take it apart and divide it up. There’s something to be learned from the order in which things were added to the book.

Take inventory and prepare to track your progress.

It’s important to recognize that it isn’t likely that all of the materials and information will be digestible in one sitting. And it helps tremendously when you set up a process that makes it easy to pick up the project and put it down easily while keeping track of where you left off.

You can track your progress in a variety of ways:

  • a project log spreadsheet,
  • Word document
  • Evernote or One Note
  • A spiral notebook

Take a moment up front to put your tracking mechanism in place and be as consistent as possible in using it.

I use Excel spreadsheets for my tracking. I find it very helpful to create a separate tab for each item within the collection (book, scrapbook, computer disk, address book, etc.) This helps provide me with a complete inventory at a glance. On each tab I add columns applicable to the type of item and information it contains.

Get a genealogy software program.

If you’re new to genealogy, or you’ve only had your family tree online, now is the time to get a genealogy software program. It will not only help you stay organized, but it will also give you a mechanism for consistently adding source citations. Your genealogy software database while also serve as the “brain” of all your efforts. The database gives you one place to focus your efforts and systematically add information. Also, it puts all of it in your control on your own computer, not solely in the hands of a genealogy website that could be gone tomorrow.

There are a handful of genealogy software database programs on the market. Family Tree Maker, Legacy and RootsMagic are all good and reliable. MyHeritage offers Family Tree Builder for free

No matter which one you choose, download and install it on your computer. Then make sure that you have an automatic cloud backup service installed and running on that computer. Start processing the inherited genealogical information.

Whether you are new to genealogy or a longer time researcher, start by entering the information you inherited starting with yourself or your parents and then add family members going back in time generation by generation. As I said previously, I know it can be tempting to jump to older generations to work on, but you must methodically prove each generational connection in order to have an accurate family tree.

In Jim’s case, he inherited a compiled history book from his aunt, so he will want to start by turning to the page that contains himself or his closest ancestor (probably his parents.) On his tracking spreadsheet he could include columns for ancestor’s name, page number and notes, and enter that information as he works on each person’s record. By doing so, he will always know where he left off.

A compiled history is just one source, and in fact, it is not even a primary source. This means that even if sources have been cited in the book, it’s important to locate and review those sources to confirm that you agree that the conclusion is accurate. After all, this is your tree and research now.

Never enter a new ancestor without cited sources. If the book or paperwork names someone, and even provides some specific information about them, your job is to go find the records to prove it. Once you are satisfied you are ready to enter the person and their information into your database, and of course, cite your sources.

A few decades ago, back when I was doing genealogy strictly as a hobby and not professionally, I found an amazing compiled family history on my Wolf family line. It contained thousands of people, was meticulously compiled and full of details, and did not include a single source!

Since the book wasn’t an heirloom or one of a kind, I found it very helpful and simple to make a small pencil tick mark next to each person as I worked on them. I set about painstakingly finding sources for every piece of information that was new or conflicting with what I had. As you can imagine, that’s a very big job. Since time is always at a premium I didn’t research everything, particularly information that was not critical to the identification of the ancestor, or perhaps was about a collateral individual. However, I did not enter anything into my database that was not researched and proven. This means you’ll need a way to keep track of what has not yet been researched. I used a red pencil to place a tick mark next to items yet to be researched about an ancestor. You could also opt to add a column to your spreadsheet to track it and then return to it later.

Did I add everyone listed in the book in my database? Absolutely not! I focused specifically on direct ancestors and included their children. Once I made my way as far back as I could go in the book, I selectively filled in additional people from collateral lines that were of particular interest or closely associated with areas that I wanted to research further. Rest assured there is no right or wrong way to do this. Do what is most important to you in the most accurate and methodical way you can.

Cite your sources every step of the way.

Talk to any experienced genealogist and you’ll probably hear some regrets about not citing their sources when they first began doing genealogy. Source citations are like an insurance policy. It’s not very satisfying to invest in it now when everything is fine, but down the road when trouble arises you’ll be glad you did.

So what kind of trouble are we talking about? No family tree is immune from occasional problems such as:

  • discovering an inconsistency in your family tree
  • uncovering a new source that directly contradicts one of your conclusions
  • being contacted by another researcher who is challenging something you have posted or published about your family tree.

The only way to address these situations is to review the sources you used. And that’s where your source citation comes in mighty handy! They help answer the questions and also prevent timewasting duplication of effort.

If the only source for a particular event is the book, go out and find the original record to verify it is correct, and cite both in your database.

What to do when you can’t keep all the genealogy you inherited.

As painful as it is to say, it isn’t always possible to keep all of the genealogical items that come your way. The reality is that shelf and closet space have limits, and our collection can grow unmanageable when added to the research of previous generations.

Start by seeing if you can reduce it. Strive to digitize all items that you want to save that are not originals, heirlooms or not readily available somewhere else.

Once digitized and recorded in your database, you can toss them. Recently I went through boxes of photographs I inherited from my paternal grandmother. Many were from the late 1970s and early 1980s when double prints were all the rage. By simply tossing duplicates and low quality photos (such as half of grandma’s hand over the camera lens) I was able to reduce the collection by almost a third!

Donation is also an excellent option. Digitize and take photos of the items and then they can be donated to a library, archive, genealogical society or other organization with an interest in them. Sometimes the shared interest is not as much in the particular families as the locations from which they hailed. One woman told me at a recent seminar that when she asked her local archive about her materials, they were ecstatic. They immediately spotted old buildings in the photos that no longer exist but held an important place in the town’s history. You never know what may be meaningful to others.

I recently heard from a Hal Horrocks, a long-time member of the Orange County California Genealogical Society. In 2017 they started a program called Rescue the Research. They strive to preserve the research done by their past members. It’s a great example of making hard-won genealogy research more accessible to others while reducing the burden on closet space.

Donation isn’t for everybody. However, sadly it is sometimes the only option when you don’t have descendants or relatives interested in retaining your research. Don’t despair. Donating your research is bound to elicit a genealogy happy dance from some future genealogist who comes across your research!

GEM: VICTORIAN SCRAPBOOKING

The Victorians coined the phrase “scrapbooking:” they literally pasted paper scraps into books. As an embellishment, those who could afford to bought “relief scraps,” such as the ones shown here. These were like the precursors of modern sticker sheets or die cuts, printed just for the scrapbooking hobby. You could buy colorful images of everything from flowers or children to animals, or angels or Father Christmas. These images were raised or embossed on the paper, which is why they called them reliefs.

Relief scraps could be used as embellishments around other items on scrapbook pages, but sometimes they were the only decoration on a page, arranged in pretty patterns.

This Ladies Home Journal magazine from May 1891 at HathiTrust Digital Library describes quote “a Sunday Scrap-book?as a source of almost unlimited pleasure and profit to children who can read and write.”

DNA WITH DIAHAN, Your DNA Guide

I don’t think there is any dispute that the four major online resources for genealogy include Ancestry.com, FamilySearch.org, Find My Past, and My Heritage. Of those four, only Ancestry.com has attempted any real integration of DNA test results into traditional genealogy.

That is, until recently. On May 19, 2016 MyHeritage announced that they will be adding a DNA matching service to their offering, and then on November 7th announced they would be conducting DNA tests themselves. Now, MyHeritage has enjoyed partnerships with 23andMe and Family Tree DNA for quite some time now, but those partnerships have been woefully underutilized and are little more than an affiliate service, where MyHeritage provides a discounted rate to test at those companies.

There is no question that the launch of DNA Heritage fully into the genetic genealogy market is exciting news. In fact, it is something I have been pushing for ? we absolutely need someone to challenge AncestryDNA. Competition is good.

In September they began to provide matching results for individuals who had uploaded their results. As of today, uploading your results is still free, so if you have been thinking about it, you may want to take advantage sooner rather than later. As expected, the matches are only as good as the depth of the database, and it is early in the game, so their database is small, but even now we can get an idea of what to expect from MyHeritage as they take their first steps into genetic genealogy.

One of the most exciting elements of their November 7th announcement is their development of a Founder Population project where they have handpicked individuals to represent their reference population for calculating ethnicities. They plan to launch with 25 population groups, but will likely increase to 100 in a fairly short amount of time. This is a far more advanced ethnicity report than is currently offered anywhere else.

After you have figured out how to download your raw data from your testing company  (see my instructions here: http://www.yourdnaguide.com/transferring), and then managed to add it to My Heritage (you have to add a family tree to MyHeritage to do this, see further instructions in their May press release), and waited the requisite time to process, you will receive a notice that you have new DNA matches.

As for my favorite features, I like how they list all the possible relationships that make sense between you and your match taking into account multiple factors like your age, gender, and your genetics instead of a simple, generic range like 2nd-4th cousins. The accompanying chart that visually shows you all possible relationships is also very helpful. You can access it by clicking on the little question mark icon next to the relationship suggestions. I like that these suggestions remind us that our genetic relationships have different genealogical interpretations. Meaning that genetically, a 2nd cousin once removed, a first cousin twice removed, and a second cousin, all fall within a similar genetic range and it is impossible to determine your exact relationship based on the genetics alone.

I also like that they are providing all three genetic descriptors of your relationship: total amount of shared DNA, how many segments are shared, and the size of the longest piece of shared DNA. While this more of an intermediate to advanced piece of your results, it can be important as your relationship analysis becomes more involved.

One unique claim made by MyHeritage in their press release about their matching feature addresses a main concern that genetic genealogists have: the lack of pedigree information provided by their matches. MyHeritage claims that 95% of their DNA samples have pedigrees attached. That is remarkable! However, from my own quick calculation of my matches, the number with pedigrees is more like 60%.

They also indicated that they will soon be doing a bit of pedigree analysis for you by providing a list of shared surnames and locations between you and your match based on the pedigrees you have both submitted. This will certainly be a welcome addition.

According to the November 9th Q and A they haven’t decided yet if the ethnicity features will be available to those who only transfer, and they hint at many more features they have in the works that may only be offered to those who purchase their test.

In short, the MyHeritage site is currently functioning much like the top three genetic genealogy sites (Ancestry, Family Tree DNA, and 23andMe) and like the free tool Gedmatch, offers a meeting place for those who have been tested at one company to meet those who have tested at another, with the added bonus of a promise of new features on the horizon.

What Makes Archives.com Unique?

Like many other genealogy websites, it has billions of genealogy records. However, the subscription is a fraction of the cost of other big name websites. That makes it ideal for beginners, or if you just need a new place to dig for records in addition to your other subscriptions. Start with a free 7-day trial to find out what Archives can do for your genealogy research.

What Does Archives.com Offer?

The main focus of the website is searching for genealogical records. And they have billions of the most popular.

Archive.com is owned by Ancestry, and according to the folks at Archives there is some overlap, just like there would be with other genealogy records sites. But Archives does include records you won’t find on Ancestry, and there are records on Ancestry that are not on Archives. Since Archives is much less expensive, it’s worth a look.

What Record Collections are Included?

The easiest way to find out if Archives.com has the record collections you want is to go to the Collections page at https://www.archives.com/collections or click Collections in the menu.

They currently have 650 record collections that include billions of individual records. 

Use the filters on the Collections page to browse by Keywords, Record Type or Country. Click the down arrow on the Record Type filter to get a quick overview of the types of records the site focuses on.

In addition to some of the traditional types of records like birth, marriage, death, census and immigration, you’ll find some special collections such as Memory Pages, Surname Histories, and City Directories.

If you’re trying to find ancestors in the “old country”, check the Countries filter list before you start searching. No point in looking for records for a country that they don’t have.

How to Search for Records at Archives.com

In genealogy, we start with ourselves and work backwards. Your grandparents are a great place to start searching. When searching for records, I recommend that you start with a particular ancestor in mind and fill in as many details as you can about them before you move further back in your family tree.

There are three different ways to start searching:

  1. Use the search fields at the top of the home page.
  2. Click the Advanced Search link to go to a more robust search page.
  3. Or click SEARCH in the menu which also takes you to the Advanced Search page.

I recommend going straight to the Advanced Search page. This way you can cut out the results that don’t match and zero in on the time frame and also the type of records you want to find.

In searching for genealogy records it’s important to balance searching narrowly enough to get to what you want while searching broadly enough not to miss something.

When searching for less common names, try just searching on the name without clicking the Exact match box. This will keep your results fairly broad and provide an opportunity to see how many and what kind of results you get. By not narrowing the scope of the search, you’re less likely to miss a record that has a slight name deviation.

Take a moment to quickly scroll down and see how many are close matches. Chances are it’s just a fraction of the total results. In my case, there were only about 9 close results out of over 40,000. 

If the name you are searching is fairly common, then adding a location and life events with dates can help differentiate people and results.

A Beginner’s Basic Guide 

Archives Record filters are in the general order that you need for genealogy:

  1. Gather Death, Marriage and Birth records first.
  2. Fill in with Census Records throughout your ancestors’ lifetime.
  3. Military Service and Immigration Records are also really important milestones to find.
  4. Fill in even more like City and Telephone Directories which were often published yearly.
  5. Check out Family Trees that might include your ancestor, and Media records that can further fill in their story.

Can You Build a Family Tree?

Yes! Archives.com includes a family tree builder users can attach their records to and a discovery engine that helps users find new records about their ancestors. Start with your parents or grandparents.

You can search other people’s family trees from the Advanced Search page. You can also create your own tree. Archive’s provides a nice, simple user interface to build out a family tree online.

I just want to say that in my opinion, the very best place to build your family tree is in genealogy database software that you use on your own computer. That way you always have control of it no matter how long you have a subscription to any website. But if you’re just getting started, this is a great way to get your feet wet

If you’ve already created your tree on your own computer, then you can export it as a GEDCOM. That is the universal file type for genealogy family trees specifically. You can then upload that file to Archives.com and work with it from there.

My online family trees are not what I call my ‘master family tree’. That is on my computer. So why do I create an online tree? The reason is simple. It’s a great way to generate Discoveries and connections. I use it to generate clues and record hints.

Archives.com makes it easy to create a family tree. Start with yourself, add your parents, and what you know about your grandparents, and you are off to the races! Or, as I mentioned before, you can upload an existing GEDCOM file.

As soon as you set up your tree on Archives and start looking at records, you will start generating Discoveries automatically. It’s a way to speed up the research process and make genealogy easier than it’s ever been before.

Family History Episode 4 – Genealogy Conferences, the SS-5, Delayed Birth Records and Death Records

Welcome to this step-by-step series for beginning genealogists—and more experienced ones who want to brush up or learn something new. I first ran this series in 2008. So many people have asked about it, I’m bringing it back in weekly segments.

Episode 4: Attending Genealogy Conferences and Vital Records Requests

In our first segment, our guest is the longtime online news anchorman of genealogy, Dick Eastman, the author of Eastman’s Online Genealogy Newsletter. He talks about the changing industry and the benefits of attending genealogy conferences.

Next, you’ll learn the ins and outs of using some “vital” sources for U.S. birth and death information: delayed birth records, Social Security applications (SS-5s) and death certificates.

Genealogy Conferences Conversation: A Few Updates

  • Dick and I talk about Footnote.com as a relatively small site. Has that ever changed! Footnote.com is now Fold3.com and it’s a go-to site for millions of online American military records.
  • Family History Expos still offers an exciting conference, especially for first-timers. But there are others as well: In the United States, there’s RootsTech, the National Genealogical Society and many state and regional conferences (like one near my home, the Southern California Genealogical Society’s annual Jamboree). Find a nice directory at Cyndi’s List. Many conferences are starting to offer live streaming sessions for people who can’t attend: check websites for details. In addition, Family Tree University offers regular virtual conferences—where sessions and chat are all online! If you live outside the U.S., look for conferences through your own national or regional genealogical societies. If you can get to London, don’t miss Who Do You Think You Are Live.

The SS-5

You can order a copy of the application that your ancestor filled out when they applied for a Social Security Number: the SS-5. I have done this, and they really are neat, but they aren’t cheap. So let’s talk about the facts you’re going to find on them so you can determine if it is worth the expense.

The SS-5 has changed slightly over time, but may include the applicant’s name, full address, birth date and place and BOTH parents’ names (the mother’s maiden name is requested). If your ancestor applied prior to 1947 then you will also very likely find the name and address of the company they worked for listed, and possibly even their position title.

Here’s an example of a Social Security application form:

In the 1970s, the Social Security Administration microfilmed all SS-5 application forms, created a computer database of selected information from the forms, and destroyed the originals. So it’s important to order a copy of the microfilmed original, rather than a printout or abstract from the Administration’s database. And luckily now you can request a Social Security Application SS5 Form online under the Freedom of Information Act.

It will help to have your relative’s Social Security Number (SSN) when you apply for a copy of their SS-5. First, it gives you greater confidence that their SS-5 exists. Second, it’s cheaper to order the SS-5 when you have their SSN. Third, the Social Security Death Index, in which you’ll find their SSN, usually has death data that makes your application for their SS-5 stronger. Privacy concerns have caused some genealogy websites to pull the SSDI, but you can still search it (in many instances for free) at the links provided in Episode 3.

Finally, here’s a little background on the Social Security Number itself. The nine-digit SSN is made up of three parts:

The first set of three digits is called the Area Number. This number was assigned geographically. Generally, numbers were assigned beginning in the Northeast and moving westward. So people whose cards were issued in the East Coast states have the lowest numbers and those on the West Coast have the highest numbers.

Prior to 1972, cards were issued in local Social Security offices around the country and the Area Number represented the state in which the card was issued. This wasn’t necessarily the state where the applicant lived, since you could apply for a card at any Social Security office.

Since 1972, when the SSA began assigning social security numbers and issuing cards centrally from Baltimore, Maryland, the area number assigned has been based on the ZIP code of the mailing address provided on the application for the card. And of course, the applicant’s mailing address doesn’t have to be the same as their place of residence. But in general the area number does give you a good lead as where to look for an ancestor.

The next two digits in the number are called the Group Number, and were used to track fraudulent numbers.

The last set of four digits is the Serial Number, and these were randomly assigned.

The cost is still $27 to order a deceased relative’s SS-5 if you know the Social Security number and $29 if you don’t know it.

Delayed Birth Certificates

After 1937 folks who qualified to apply for social security had to have proof of their age. If they were born prior to official birth certificates being kept in their state, they applied for a delayed birth certificate.

Anytime someone needs a birth certificate for any reason, they have to contact the state—and often the county—in which the birth occurred. If a birth certificate exists, they can simply purchase a certified copy. But if there were no birth certificates issued at the time of the person’s birth, they could have a “delayed birth certificate” issued by that state or county.

In order to obtain a delayed certificate, they had to provide several pieces of evidence of their age. If these are considered satisfactory, the government would issue the certificate and it would be accepted as legal proof of birth by all U.S. government agencies.

Originally people turned to the census for proof of age. But eventually the Social Security Administration began to ask for birth certificates. For folks like my great grandmother who was born at a time and place where birth certificates were not issued, that meant they had to locate documents that could prove their age and allow them to obtain a delayed birth certificate. Delayed just meaning it was issued after the time of the birth.

Delayed birth certificates are not primary sources. (Remember we talked about Primary Sources in Episode 2. Since the delayed certificate was based on other documents, and not issued at the time of the event by an authority, such as the attending physician, then it is not a primary source. This means that while it’s great background information, it is more prone to error. In order to do the most accurate genealogical research you would want to try to find a primary source if possible. Chances are your ancestor used another primary source, such as an entry in the family bible, to obtain the delayed birth certificate.

The process for ordering a delayed birth certificate is likely going to be the same as ordering a regular birth certificate. You would start with the checking with the county courthouse, and then the Department of health for the state you’re looking in. Let them know that the birth record is a delayed birth certificate. Also the Family History Library card catalogue would be a place to look as many were microfilmed. Go to www.familysearch.org and search for delayed birth records by clicking on Search from the home page. Then click Catalog and do the keyword search just as the episode instructs, using “delayed birth” as your keyword. (Within that search, you can also add parameters for the place name.)

So the lesson here is that even though your ancestor may have been born at a time or in a location where births were not officially recorded by the state, they may very well have a delayed birth certificate on file.

Ordering Death Certificates

The Social Security Death Index is just one resource for getting death information. But in the end you’re going to want the primary source for your ancestor’s death, and that’s the death certificate. While many of your ancestor’s born in the 1800s may not have a birth certificate, there is a much better chance that they have a death certificate since they may have died in the 20th century. Each state in the U.S. began mandating death certificates at a different time, so you have to find out the laws in the state, and probably the county, since death certificates were filed at the county level.

As I said before, the death certificate is going to be able to provide you with a wealth of information. Of course you’ll find the name, date of death and place of death, and possibly their age at death and the cause and exact time of death, place of burial, funeral home, name of physician or medical examiner and any witnesses who were present. The certificate is a primary source for this information.

You may also find information such as their date and place of birth, current residence, occupation, parent’s names and birthplaces, spouse’s name, and marriage status. But because this information is provided by someone other than the ancestor themselves it is really hearsay, and the certificate is considered a secondary source for that information.

And lastly you may find a name in the box that says Informant. This is the person who reported the death to officials. Informants are often spouses, children, and sometimes, depending on the person’s circumstances, just a friend or neighbor. But the informant is almost always someone that you want to investigate further because they obviously were close to your ancestor.

Once you think you know the location where your ancestor died, and the approximate if not exact death date, you’re ready to order a certificate. If the person died in the last 50 years you’ll probably have really good luck at the county courthouse Department of Vital Records. The older the record, the more likely it may have been shipped off by the county records department to the state Department of Health. Look for helpful links to death records at Cyndi’s List Death Records.

Here are some tips that will ensure that you don’t get bogged down in bureaucratic red tape:

  1. Get the appropriate request form – this is usually available online.
  1. Print neatly and clearly – if they can’t read it, they will send it back to be redone.
  1. Provide as much information as you have.
  1. Provide a self addressed stamped envelope.
  1. Make one request per envelope.
  1. Include a photocopy of your driver’s license to prove your identity.
  1. Be sure to include your check for the exact amount required.
  1. Make a copy of the request form for your records and follow up.
  1. Lastly, keep in mind that county offices have limited personnel and are often swamped with paper work. So my best advice is that the more courteous and thorough you are the more success you’ll have.

Online Death Indexes

In the case of very old death certificates, as well as birth certificates, some state agencies have opted to hand them over to state Archives and Historical Societies, or at least make them available for digitizing.

And there you have it, lots of different avenues for tracking down your ancestor’s death records providing you with key information for climbing your family tree.

Q: Where would you recommend the hobbyist start their Irish search?

A: Not a lot of Irish records are available online for free. Top sites for Irish records include: FamilySearch.org (click here for their Ireland landing page), National Archives of Ireland, Irishgenealogy.ie and Findmypast.com (click here for their Ireland page).

Q: What does a researcher need to know before crossing the pond?

A: Where the person was born in Ireland. The county. Find out if they were Protestant or Catholic. Click here for an interactive map of Irish counties, including those of Northern Ireland.

Q: Where do you recommend they look for that info in the U.S. crossing the pond?

A: Death records, marriage records, church records (keep an eye on extended family), passenger lists, naturalization papers. Keep an eye out for extended family members who may have come from the same place. Be aware of traditional Irish naming conventions and patterns.

Q: At what point in the Irish research process do hobbyists usually get stuck?

I can tell whose turn it is to unload the dishwasher by the state of the silverware drawer. If either of the boys have done it (ages 13 and 11), the forks are haphazardly in a jumble and the spoon stack has overflowed into the knife section, and the measuring spoons are nowhere to be found. If, on the other hand, it was my daughter (age 8), everything is perfectly in order. Not only are all the forks where they belong, but the small forks and the large forks have been separated into their own piles and the measuring spoons are nestled neatly in size order.

Regardless of the state of your own silverware drawer, it is clear that most of us need some sort of direction when it comes to organizing our DNA test results. Organizing your matches entails more than just lining them up into nice categories like Mom’s side vs. Dad’s side, or known connections vs. unknown connections. Organizing your results involves making a plan for their use. Good organization for your test results can help you reveal or refine your genealogical goals, and help determine your next steps.

The very first step is to download your raw data from your testing company and store it somewhere on your own computer. I have instructions on my website if you need help.

Once that is complete, we can get to the match list. One common situation for those of you who have several generations of ancestors in the United States, you may have some ancestors that seem to have produced a lot of descendants who have caught the DNA testing vision. This can be like your overflowing spoon stack, and it may be obscuring some valuable matches. But identifying and putting all of those known matches in their proper context can help you realize these abundant matches may lead to clues about the descendant lines of your known ancestral couple that you were not aware of. In my Organizing Your DNA Matches quick sheet I outline a process for drawing out the genetic and genealogical relationships of these known connections to better understand their relationship to each other and to you. It is then easier to verify that your genetic connection is aligned with your known genealogical paper trail and spot areas that might need more research.

This same idea of plotting the relationships of your matches to each other can also be employed as you are looking to break down a brick wall in your family tree, or even in cases of adoption. The key to identifying unknowns is determining the relationships of your matches to each other, so you can better see where you might fit in.

Another helpful tool is a trick I learned from our very own Lisa Louise Cooke, and that is Google Earth. Have you ever tried to use Google Earth to help you in your genetic genealogy? Remember that the common ancestor between you and your match has three things that connect you to them: their genetics, surnames, and locations. We know the genetics is working because they are showing up on your match list. But often times you cannot see a shared surname among your matches. However, by plotting their locations in the free Google Earth, kind of like separating the big forks from the little forks, you might be able to recognize a shared location that would identify which line you should investigate for a shared connection.

So, what are you waiting for? Line up those spoons and separate the big forks from the little forks, your organizing efforts may just reveal a family of measuring Spoons, all lined up and waiting to be added to your family history.
