Italian Civil Records in New and Updated Genealogical Collections

Italian civil records at FamilySearch have been updated for five specific localities. Births, marriages, and deaths are just a few of things you will find in these collections. Also this week, Netherlands, Sweden, Australia, and Alaska.

Italy – Italian Civil Records

FamilySearch has added to their Italian genealogy records this week. Five specific locales in Italy have Civil Registration records online. Civil registrations include such things as births, marriages, and deaths. They can also include marriage banns and ten-year indexes. Of course, availability of records will depend on the time period and the location.

The first collection titled Italy, Viterbo, Civil Registration (State Archive), 1870-1943 cover the years of 1870-1943.

This collection may include the following records:

  • Marriage banns (pubblicazioni o notificazioni)
  • Residency records (cittadinanze)
  • Ten-year indexes (indici decennali)
  • Supplemental documents (allegati)

The second collection titled Italy, Mantova, Civil Registration (State Archive), 1496-1906 covers several centuries. Images for this collection had been mistakenly made available to the general public who registered at FamilySearch. However, because of the agreement signed 30 June 2011, the publication rights of images belongs to the Italian National Archives (DGA) who publishes them freely to all on their Portale degli antenati: http://www.antenati.san.beniculturali.it/. Though you can see a transcript of the civil record at FamilySearch, you will have to visit the Il Portale Antenati to see the digital images. Some fees may apply.

Again, these civil records for Mantova will include such things as birth, marriage, and death records and in some cases, marriage banns and 10-year indexes.

The third collection is titled Italy, Grosseto, Civil Registration (State Archive), 1851-1907. These records will again cover birth, marriages, and deaths in the Grosseto locale. These records, like the others, are written in Italian. In this case, you are able to view many of the digital images online at FamilySearch without having to use the Portale Antenati.

The fourth collection titled Italy, Rieti, Civil Registration (State Archive), 1840-1945 covers the years between 1840 and 1945 of this specific locale. The records held in this collection will largely be the same as the others, but there is something special that these Rieti records hold. They include Catholic parish registers of Poggio Fidoni (Frazione of Rieti) for the years 1768-1860.

Lastly, a fifth collection titled Italy, Enna, Civil Registration (State Archive), 1866-1944 has also been added with lots of birth, marriage, and death records for the vicinity of Enna.

Netherlands – Miscellaneous Records

Also at FamilySearch, records have been added to the Netherlands, Archival Indexes, Miscellaneous Records. These miscellaneous records include indexes that cover many record sources, such as civil registration, church records, emigration lists, military registers, and land and tax records. These records cover events like birth, marriage, death, burial, emigration and immigration, military enrollment, and more.

Sweden – Norrbotten Church Records

Sweden, Norrbotten Church Records, 1612-1923; index 1658-1860 is a recently updated collection at FamilySearch as well. Church records from the county of Norrbotten contains indexes to births, marriages, deaths and images to clerical surveys, registers of birth, marriage, death, move-in and move-out lists, confirmations, and church accounts. Notice that this collection has some index-only items and there are some other items that offer a digital image of the record. Covering such a lengthy period of time, records will vary given the time frame.

The records are handwritten in narrative style and may be difficult to research for beginners.

Australia – Marriages

This week at Findmypast, we bring your attention to Australian Capital Territory Marriages. Each record result contains a transcript of the original record. The information available will vary, but information typically  includes:

  • First and last name
  • Marriage date
  • Spouse’s first and last name
  • Registration number
  • State

Further details can be found on the marriage certificate itself, which can be obtained online from the Office of Regulatory Services. Due to the sensitivity of the information found on marriage certificates, the marriage must have occurred more than 75 years ago to obtain a certificate.

Australia – Victoria – Wills & Probate

Wills and other probate records are a fantastic resource for genealogists. They often contain names of heirs and prove relationships. Findmypast has updated the collection titled Victoria Wills & Probate. In this collection of mostly indexed records, some search results will also include an image of the original probate documents. Records cover the years 1841 to 1989 and may include the following information:

  • First and last name
  • Sex
  • Occupation
  • Residence
  • Death date
  • Grant date
  • File number

Australia – Victoria – Divorce Records

The Victoria Divorce Cause Books 1861-1938 collection at Findmypast may offer you answers to the reason your ancestors parted ways. In Victoria, the Public Records Office Victoria (PROV) holds divorce case records up to 1940. If you are interested in more recent divorce cases, you will need to contact the Supreme Court of Victoria. It’s important to also know that up until 1975, divorce cases in Victoria were heard by the Supreme Court.

Victoria divorce recordsThese records will likely provide you with the first and last names of couples, petition date, who filed for divorce, and a case file number.

United States – Alaska – Vital Records

Did you know that this year is the 150th anniversary of the Alaskan Purchase? We have some great tips for Alaskan genealogy research coming up here on the blog in the next couple of weeks. In the meantime, get started on researching your Alaska ancestors with the FamilySearch collection titled Alaska, Vital Records, 1816-1959.

In these records, images of birth, marriage, death, and divorce records are available for searching. Though the collection is a bit on the small side, new records will be added as they become available. Digital images of births cover the years of 1816 to 1912, marriages for the years of 1816 to 1959, and deaths between 1816 and 1959.

Here in the U.S., it’s my favorite time of year: back-to-school! The weather slowly cools. My children shake off summer’s mental lethargy. My own schedule resumes a more predictable, productive rhythm. And after months spent outdoors, I rediscover my local library. Top on my library list this fall: free genealogy ebooks and magazines I can check out on my mobile device. It’s on-the-go reading for my favorite hobby–with no searching under my bed when items come due to avoid those pesky late fees.

Free Genealogy eBooks and Magazines

Genealogy Gems Premium Member Autumn feels the same way about free genealogy gems at her local library. Here’s a letter she wrote to Lisa Louise Cooke:

“I’m really enjoying both the Premium and free podcasts. I also like the addition of the Genealogy Gems Book Club. I haven’t read all the books yet but am adding them all to my wishlist on Overdrive, a free app that allows you to check out digital books for free from your local library. They don’t have every book but they have many, many books including some from the book club. Most libraries have a lot of biographies and histories available through Overdrive for free that are of interest to genealogists as well. Some libraries are adding video to their Overdrive offerings too.

Many of these same libraries offer magazines free as well.  My library…use[s] Zinio, a magazine app. I only subscribe to a couple of magazines now because I can get so many for free through my library (not to mention keeping my home neater by not having them laying everywhere).”

We hear from many avid readers who love browsing our list of mainstream fiction and nonfiction picks for family history lovers. Overdrive and Zinio

At Autumn’s recommendation, I started using Overdrive through my local library. I love it! I’ve listened to several digital audiobooks on the road and at the gym through Overdrive and have read several ebooks, too. (I’m always on the hunt for the next Genealogy Gems Book Club title.) The books just disappear at the end of the lending period (hence the “no late fees” bonus).

Genealogy Gems Service Manager Lacey Cooke loves Overdrive, too. She sent me these four reasons why:

1. Download for Offline Listening: “You can download the ebooks, audiobooks, magazines etc. to your device so that you can enjoy them offline (great for traveling). They’ll still disappear once your lending period expires, but having them available offline is awesome. You don’t have to worry about data charges or slow internet connections.

2. The Wishlist: Autumn briefly mentioned the Wishlist feature. I love this feature because it gives me somewhere to save book titles that I’m interested in reading at some point, but I’m not ready to check out just yet.

3. Bookmark/Syncing: You can bookmark a page, then pick up where you left off. If you have the Overdrive app on multiple devices, the app syncs. I can start reading on one device, and pick up on another right where I left off.

4. Format Adjustments: You can adjust the font style, size, and color to make it easier for you to read. I like to pick a nice, clean font in a big size so there’s no strain on my eyes.”

It’s worth noting that if you don’t already have a library card with your local library, you may be required to sign up in person to get a card, even if you only plan on using the Overdrive app to request items online. New releases or popular titles may have a wait list to check out the ebook or audiobook (especially if the library only possesses one copy). If you do have to place an ebook on hold, you will be notified via email when it becomes available to you, so if you don’t check your email regularly, keep that in mind when you place a hold. Each library system is different, so of course, your experience may vary.

Another helpful tip: not every library offers Overdrive ebook checkouts. But sometimes you can use another library’s Overdrive privileges. Autumn sent a link to these instructions on how to do so. (Thanks, Autumn!)

Autumn also mentioned the Zinio app. My library doesn’t offer Zinio yet, so I spent a little time on its public search portal. That doesn’t have a browsable genealogy category, and searches for the terms family history, genealogy and ancestry came up empty. But I did finally find these titles:

More Free Genealogy Resources at Your Local Library

Of course, your local library may offer many additional free genealogy research and reading materials. Of tremendous value is access to Library editions of popular genealogy databases such as Ancestry, Findmypast, Fold3, and MyHeritage, along with institutional versions of historical newspaper databases. (Click here to learn more about the differences between the major genealogy websites.) Call your library or browse its website to see what resources may be available with your library card on site or even remotely from your own home or mobile device. And remember to watch for your library’s e-media options like those recommended by Autumn.

Trace Your Irish Ancestors: 4 Tips

Irish research can be difficult. Although the island is small–about the same size as the state of Indiana–its violent history and many divisions makes research complicated. In addition, many United States records simply report our ancestors were from Ireland with no indication of the county of their birth. However, knowing a little bit about the history and geography can provide the necessary clues. Here are four tips that can help you trace your Irish ancestors from the United States back to Ireland.

Tip 1: Understand the Island of Ireland Today

There are two distinct political entities on the island of Ireland: Northern Ireland and the Republic of Ireland. The dividing line was drawn by England in 1922. This is an important date to keep in mind when searching for more recent Irish ancestors.

The Republic of Ireland, or Eire, is an independent nation made up of the southern 26 counties of Ireland. The Republic of Ireland is predominantly Catholic, with about 3% of the population identifying itself as Protestant. Indices and links to copies of the civil birth records for the years 1864 to 1915, marriages between 1882 and 1940, and death records between 1891 and 1965 are available for free from the IrishGenealogy website. (These records include those of the Northern Irish counties up to 1922.) Official copies can be ordered from the General Records Office in Dublin.

Northern Ireland, also known as Ulster, is a part of the United Kingdom–although it is self-governing like Canada or Australia. Although the counties of Northern Ireland are not officially used today, it is comprised of the traditional counties of Antrim, Armagh, Down, Fermanagh, Tyrone, and Londonderry (also known by the more traditional name of Derry). Although most Americans believe that Northern Ireland is a Protestant nation, the reality is that today there are almost an equal number of Catholics as there are Protestants in Northern Ireland. Civil birth, marriage, and death records can be ordered from GRONI (General Records Office Northern Ireland).

Tip 2: Turn to U.S. Census Records

From the 1880 U.S. Census through the 1920 U.S. Census, Irish ancestors who immigrated to the United States, or whose parents were natives of Ireland, simply reported they were natives of Ireland. However, since the 1930 U.S. Census was taken after the creation of the Republic of Ireland in 1922, it often noted the specific country from which ancestors originated.

In this sample (below) from the 1930 U.S. census, we can see John O’Reilly was born in “North. Ireland,” as were his mother and her parents. His father, however, was from the Irish Free State, or the Republic of Ireland. This information tells us where to search for John’s birth: in one of the six counties of Northern Ireland. His mother’s birth record will also be from Northern Ireland, and probably his parents’ marriage record also, since it is more traditional to marry in the bride’s hometown than the groom’s.

There is the potential that a much larger search will be necessary for John’s father’s birth record unless the marriage record can be found and it specifies in which of the 26 Republic of Ireland counties he was born.

If your Irish ancestor, or the child of that ancestor, is listed in the 1930 U.S. census, pay close attention to where they reported they and their parents were born. You might find a very helpful clue in that census report.

Tip 3: Look to Religion for Clues

While many people associate Roman Catholicism with Ireland, there are many Protestants living in Northern Ireland and fewer in the Republic of Ireland. Knowing your family’s historical religious preference can provide a small hint. If your family has always been Catholic it is likely they were Catholics in Ireland. However, as we have already noted, with almost all of the Republic of Ireland expressing a preference for Catholicism and about 45% of the citizens of Northern Ireland claiming allegiance to the Catholic faith, you can see a Catholic religious heritage is not particularly unique.

However, if your family history includes the Episcopal faith, or there is something that references “the Church of Ireland” in your family’s records, then your family was most likely Protestant when they lived in Ireland. You are also more likely to find your Protestant ancestors in Northern Ireland (with the understanding that there are Protestants throughout the Republic of Ireland).

If your family is or has been Presbyterian, there is a very strong likelihood your family is actually Scots-Irish with your ancestors immigrating to Ireland from Scotland, bringing their Scottish religion with them. You will find most of these ancestors in Northern Ireland.

Tip 4: Move on to Military Records

World War I (1914-1918) was particularly brutal to the Irish. More than 30,000 of the 200,000 men who enlisted were killed in this war. Songs such as “Gallipoli” and “The Foggy Dew” mourned the loss of so many young Irish men in foreign wars, especially since the 1922 Irish War of Independence followed closely on the heels of World War I.

If one of your Irish ancestors fought and died in World War I, you can find his name and more at the website Ireland’s Memorial Records. Many (but not all) of the memorials include the county in which the soldier was born, as seen below:

Another website, Ireland’s World War I Veterans 1914-1918, has created a PDF list, updated every three months, which contains over 35,000 names of Irishmen who fought in World War I. If you know or suspect your Irish ancestor may have served in World War I and survived the experience, this is an excellent place to find a clue about his origins.

Although it can be difficult to find the correct place in Ireland for your family’s origins, there are some important clues, both historical and geographical, that can help you pinpoint a place to begin your search in Ireland.

Trace Your Irish Ancestors: In Conclusion

The 1930 U.S. census can provide an important clue to trace your Irish ancestors, as can your family’s religious heritage. If an Irish ancestor served in World War I, you may be able to determine the county in which he was born. A knowledge of the differences between Northern Ireland and the Republic of Ireland, as well as their location and the counties within those two countries, can help you contact the proper vital records office for those all-important vital records. Episode 71 Show Notes 

Barbara left a comment saying she found our recent videos that we called How Alice the Genealogist Avoids the Rabbit Hole helpful (episode 68 and episode 69), but she did had a question about Evernote. She asks, “Once you have processed (the genealogy record) and extracted the information you need, do you remove them from Evernote and place them in your digital genealogy filing system? I get a bit confused in thinking about what the other purposes of Evernote might be. Wouldn’t I just save my documents, newspaper clippings, etc. to my digital files on the hard drive and also to my Google Drive folders? Is there any need to also have them in Evernote?”

This is a great question, and I think the best way to answer it is to talk about my entire genealogy workflow in which programs like Evernote play a part.

It really helps to have a consistent way to capture and find what you’re actively working on. My workflow works great for me, but its just one way. Follow along with me and see if this might be a flow that will work for you.

The Genealogy Data Flow

Let’s start off with an overview of my workflow. And there are really 5 major workstations, if you will, that your data flows through. Some of these we’ve discussed previously here and also in several Premium Member videos:

  1. Active Genealogy Work
    This is the stuff we are working on currently. I several different tools to capture and work on these items: Evernote, genealogy website subscriptions, “pending” folders on my computer, pending tabs in my 3 ring notebooks and physical pending box on my desk. We discussed this in Elevenses with Lisa episode 7.
  2. Conclusions added to Master Genealogy Database (Software on your computer)
  3. Archival Digital Storage (your computer.) See episode 8 (Digital Archiving) You can certainly keep archival items in Evernote as well.
  4. Archival Paper Storage (your binders.) See episode 6 (Paper Archiving)
  5. Cloud backup. I use Backblaze at https://www.backblaze.com/lisa (affiliate link – thank you for your support of our free content)

Incoming Genealogy Sources

Not everything I find while researching is ready to be archived the moment I find it. Some items are actively being found and worked with such as:

  • Items I’m exploring for the potential application to my current research project
  • Items pending analysis
  • Unproven items
  • Items playing a role in a bigger research question that I want all together for now.
  • Bright Shiny Objects (BSOs) – stuff I found along the way that doesn’t relate to my current research goals

Not everything is captured on my computer. Many items (photos, audio and video records, typed notes) are captured on my phone and my iPad. So, I need an easy way to funnel everything back to one active workspace. A cloud-based notetaking service allows me to do this because it’s available as software on my computer and an app on my mobile devices. All synchronize through my account on the cloud. I use Evernote  (affiliate link – thank you for your support of our free content) so I’ll refer to that, but there are others out there like OneNote, and Google Keep. (Learn more about how to user Evernote in episode 70.)

Evernote allows me to:

  1. Capture and hold items
  2. search and retrieve more effectively than on my computer thanks to OCR (subscription)
  3. work my genealogy research plan
  4. easily collaborate with another researcher by sharing a single link
  5. Store and share media such as audio and video recordings

OK, so does everything go straight into Evernote? The answer is no. So let’s take a look at what happens to a digital item when I get it. I’m going to call it data, but it could be a downloaded genealogy record, a web clipping from a website, a photo of a gravesite I took with my phone, or anything else that includes information I want to use.

Working Your Genealogy Research Plan

When we work our genealogy research plan, we will inevitably locate documents. Typically, these are digital, but sometimes we find a physical document and make a digital copy of it.

Before a digital item is deemed relevant and ready to archive, we have a lot of work to do. We need to evaluate and analyze the document to determine its value and its possible application to our family history. If deemed reliable and applicable, we then need to extract the data and enter it into our family tree software. We may also decide to add some or all of the information to other places such as our online tree if we have one.

Many times, all of this work can’t happen in one sitting. We may need to be able to review and work with the item several times before we’re finished with it. I call this “processing” the document.

Even after its processed, we may still need the item nearby for reference as we work our research plan in the hopes of reaching our goal. At this stage, I consider this item to be “Active.” The opposite of that would be items I consider to be “Archived.” An archived item has been fully utilized and is no longer playing an active role in my research plan. That’s not to say I may not need to reference it again in the future, which is why it must be archived where I can retrieve it. The point is that the item is not relevant to my current active research. For example, perhaps it pertains to my mother’s side of the family and right now I’m working on my father’s side of the family.

My active digital items are typically added to Evernote, which I consider to be my Active workspace. It is not my archival space. However, this is not to say that you can’t store everything in Evernote forever if that’s what you want to do. You certainly could. I’ve given this a lot of thought and there are a few reasons why I don’t store everything in Evernote.

The main reason I don’t store everything in Evernote is that I’m a firm believer in retaining control of my data. If we store everything on a website or in a cloud service (which Evernote is), they (or their hosting provider) could pull the plug tomorrow and it would all be gone. I certainly don’t think that would happen overnight, although there are real cases of that happening. But I don’t want to take the risk, and I don’t want to have to scramble in a panic to move a mountain of data because I’ve been given a 30 day notice that a service is ending or has been sold to another company. (And let’s not even think about the possibility that the email notification of that happening went to my Spam folder!)

In order to retain control of my family history data, my long-term data storage needs to be within my control: my computer, external hard drives (both backed up with Backblaze) and paper print outs. That being said, when it comes to my active research project, I’m willing to trade the risk for the speed and convenience of using an online tool or service such as Evernote. My active research is a small fraction of my total research, most of which has been archived on my computer.

So, when I first find an item, I have a decision to make: where am I going to put it? Will I save it to my computer or to Evernote? It depends on what it is.

Items I save to Evernote:

  • Items needing OCR to be most useful. Examples: Newspaper articles, web clippings
  • Items created with my phone or tablet. Examples: Photos of gravesites and documents, interview audio recordings, videos of research trips
  • Items needing analysis before confirmed as pertaining to my family. Examples: Record downloaded from a genealogy website. I want these in Evernote because everything is together in one place. Tags and the search feature allow me to instantly retrieve any combination of records I need at any given time for cross reference. And if I need to share any or all of the items with another researcher it’s easy to do with just one share link. A cloud notetaking service make working your research plan much easier.   • Example: Items pertains to my family but not part of my current research project.
  • Downloaded genealogy records I don’t have time to process right now.

All items are tagged with relevant information to make them quick and easy to find in addition to keyword searching.

Items I save to my computer hard drive:

  • Items to I want to keep that have been processed.
  • Digital scans of visual items. Examples: Family Photos, old postcards
  • Large files created on my computer (audio, video).

The bottom line is that whenever I need to find something for my active research project I’m going to search my notetaking service first, and then my computer hard drive.

Archiving Processed Items

Once I reach my research goal and I’m done actively using those sources, I’m ready to archive them. I could just leave everything in Evernote, but I want to make sure that all genealogical documents that I referenced as a source in my master database, are archived on my computer for long-term storage that I control, and that is being automatically backed up.

An important thing to understand about Evernote is that you can’t just download everything with one click in its original file format. However, you can save individual digitized items in your note, such as genealogical records, to your hard drive. Since there is no lifetime storage limit, I leave the note intact in Evernote, and I save the image to my computer hard drive. Save the image by right-clicking on it (in Windows, & I think it is Command click on a Mac) select Save As and save it to the appropriate archival folder.  I do this at the end of the research project. Now you may feel like your “research project” never ends! But I’m referring to a genealogy research plan.

Of course, after I’ve answered my research question I quickly develop the next one and build a plan around it. So, you’re right, it never actually ends – thank goodness!

How Do I Find It Later?

My software database is the brain of my genealogy operations. I may have family tree information on various genealogy websites, on my computer, in Evernote and maybe even on my own family history website. But my database is the final word on what I have found and believe to be accurate. As I draw conclusions and add data to my family tree in my database, I cite my source. Therefore, everything I need to know about my tree is in one location I control on my own computer. If someone asks me a question about someone in my family tree, I can quickly look up the information and also see where I got it (the source).

When I want to refer back to one of those sources I would look in one of three places:

  1. My computer archival digital files (especially if it’s not part of my active research plan). This is easy to do because I know my folder system well, and it guides me. I’ve never lost anything yet!
  2. Evernote (particularly if the source is part of my current research plan.)
  3. The surname binder (if my citation tells me or I suspect it would be an archived piece of paper.)

Because I stick to my system, I usually instinctively know where to look. And because of they way each is set up, I can find things FAST!

Final Thoughts

Of course there are always exceptions to any rule, and there may be an item or situation that doesn’t fall perfectly neatly into a category or activity. Use your own best judgement on how to handle those. OCR search capability and great systems for digital and paper items will make it possible to find what you need when you need it. And most importantly, you’ll retain control over your family history legacy.
