Information You Can Find in Passenger Lists

Here’s a list of the type of information you may be able to find in passengers lists, depending on the year:

  • Name
  • Age
  • Place of Birth
  • Physical Description
  • Occupation
  • Last Place of Residence
  • Where they are going
  • Ship name

How to find Ellis Island records about detained passengers:

  1. Find the manifest in the database.
  2. Look to the left of the name for markings. X or SI stands for Special Inquiry indicates the person was probably held on Ellis Island. LPC: Likely to Become a Public Charge.
  3. Detention records will tell you why they were detained. Detention records aren’t indexed. You can find them by locating the manifest first, and then scrolling through the carousel of images to find them at the beginning or end of the ship’s list.
  4. Determine the length of your ancestor’s detention by counting the number of meals recorded.

Ellis Island Records Through the Years

Ellis Island records coverage: 1820-1957

Pre-Ellis Island AKA Castle Garden Era Records: 1820-1892

Before 1892: Castle Garden was the state-run immigration station. The federal government took over the process of immigration, they built Ellis Island in 1892.

Pre-1897: Records are technically customs records. That’s why they have a very limited amount of information. Manifests were destroyed in a fire in 1897.

Peak Years at Ellis Island: 1892-1924

After 1907: Passenger lists became 2-page documents containing approximately 30 questions.

1924: Ellis Island’s focus turned to detention and deportation. Therefore, most people wouldn’t have actually stepped foot on Ellis Island.

Ellis Island closure: 1954

Records available through: 1957

Records were created at the port of departure. Upon arrival, Ellis Island inspectors asked the passenger the same questions to make sure they were answered the same way.

How to Search for Ancestors at Ellis Island Passenger Search

  1. Go to the Ellis Island Passenger Search page.
  2. Type your ancestor’s name into the search bar.
  3. Select from a variety of wild card searches. Kathryn recommends Close Matches, Sounds Like, and Alternative Spelling.
  4. If you get too many results, click Filters, or use the Wizard or One Page form. Kathryn recommends the One Page form.
  5. On the One Page form, Kathryn recommends using age at arrival, year of arrival, port of departure and/or country of origin. Pad the years to allow for errors and deviations.
  6. If you’re searching outside the peak year period, don’t use the filters. This is because the records after 1924 were indexed differently. Many passenger lists are only indexed by the year of arrival and are given a placeholder date of Jan. 1. Therefore, if you search for a month or day, you will not get results.

5 Search Strategies for Ellis Island Passenger Lists

Strategy 1: Start by running a broad search.

Strategy 2: Use the original ethnic name, because names were recorded at the port of departure. If you’re unsure of the first name, try entering just the first initial and checking the Contains wildcard. This often helps because the first letter of the name is often the same regardless of the language.

Strategy 4: Be persistent. There are many factors that could lead to not initially finding your ancestor.

Strategy 5: Consider other scenarios.

  • Name variations – try searching many variations.
  • Remember that the clerks may have spelled names phonetically.
  • Many passenger lists are handwritten so they may have been transcribed and/or entered into the database incorrectly.
  • Your ancestors may have arrived at a different port of entry, such as Philadelphia, Boston, or Baltimore. Many of those passenger lists are also available online.

More Ellis Island Search Tips:

  • Italian women travel with their maiden name. Children may be under either the father or mother’s last name.
  • Jewish people may be traveling under their Yiddish name.
  • Families are listed together. If you can’t find the head of the family, try searching for the children.
  • In pre-Ellis records names may be abbreviated. Example: Wm. for William, and women may be listed under their husband’s name, such as “Mrs. Adam Smith”.

How to Name Sources in RootsMagic 7


How to name sources in RootsMagic 7 is a matter of personal preference. My preference? Simply and consistently!

Helen recently transitioned from Mac Family Tree 7 to RootsMagic 7. She sent me this question about how to name sources in RootsMagic:

“I stripped out all sources from my old file before exporting the GEDCOM because I wanted to start fresh with a consistent system in RootsMagic 7. I have watched their webinars for sourcing and understand the basic how-to. I’d love to hear your strategy for naming your sources… say census records. If the names are too general, then you have a lot of data entry for each incident. But if the name is too specific, your source list gets very long very quickly. Do you add ID numbers to your sources?

Thanks to Helen for the question! Naming your sources in RootsMagic is really a personal preference, so the first rule of thumb is not so much about what you call them, but rather that you do so consistently. If you have a naming convention that you follow that works, having a very long list won’t be as intimidating.

I used to number my sources long ago in my old database software. Actually that software did it automatically which I really liked, mainly because I put that number in the name of the digital file for the corresponding record image. RootsMagic 7 allows us to attach our images, so that is no longer an issue.

Here’s an example of my simple approach to naming sources:

Record type > Year > Surname > First name (head of household)

Example: Census 1940 Moore Jay Bee

This way, all census records are grouped together in the source list. The date gives me a time frame of reference (i.e. it is Jay Bee Moore my grandfather rather than his grandfather), Surname, then head of households first name.

If the source is about Jay Bee himself, it works. The source may also mention his wife Pauline, and his son Ronald, but I don’t need to take up space including all of those name in the file name. I know that if I need a source for where Pauline was in 1940, I would find her under her husband Jay Bee. This mirrors my hard drive organization methodology, which I teach in my Genealogy Gems Premium videos.

What if there’s another related family on the same page of that census? This is where personal preference comes in. I save that same census page to the other family’s surname folder on my computer as well. Yes, it is a duplication (and I rarely duplicate effort), but in this case it works for me and I’m consistent. I find it fits better with my hard drive organization, and saves me time down the road when I’m working with a particular family. I could have named the source “Census 1940 Kings Co CA ED16-20 p6,” which is indeed one single unique page of that census but that just isn’t as helpful to me later for retrieval.

Remember, these are your sources, and you can do with them as you please. You are the only one who will be working with them. Again, I’m sharing a process that works well for me. And I always keep my eyes open for new and better ways to do things like this, but even when I find them, I weigh them against the question, “Do I really want to invest the time in changing this that I would have invested in research?” Usually the answer is “No!” unless my way has a proven flaw that will cause me more grief in the end.

There are lots of other ways to do it out there. You know me, I often turn to Google for answers. If you have a question, chances are someone out there has had it too. Google can help you quickly tap into answers. A Google search of how to name sources in Rootsmagic leads to a web page called Organizing Source Names in RM5. It’s a discussion forum where someone posted a similar question. There are a couple of very viable options offered and great discussion about how to decide what works for you. This week: British POWs in World War I, North Carolina marriages, and church records for the Evangelical Lutheran Church in America and various denominations in Scotland.

BRITISH POWs IN WWI. Prisoners Of War 1914-1920, with over 43,000 records with images at FindMyPast, consists of “10 series of British Foreign Office documents relating to prisoners held by the Ottomans during World War One. They not only include the names of military personnel taken prisoner–both allied and foreign–but also the names of civilians, merchant seamen, fishermen, diplomatic employees and more.” Some documents “contain the names, ranks and locations of PoWs and provide insights into life in the Ottoman camps. They contain details of requests made by inmates for items including footballs and biscuits, details of visits by foreign diplomats and reports on camp conditions.”

NORTH CAROLINA MARRIAGE RECORDS. Ancestry has a new collection of North Carolina “marriage bonds, licenses, certificates, and registers, as well as indexes and abstracts to the various records from 87 North Carolina counties….Of special interest to African American researchers are records of cohabitation, which were required to be recorded in 1866 in order for the marriages of recently emancipated slaves to be legally recognized.” The records span 1741-2011.

SCOTLAND CHURCH RECORDS. Births, baptisms, banns and marriages, deaths and burials are among a slew of newer records searchable on MyHeritage.com. According to the site, “The records in this collection were taken from Kirk Session material of the Church of Scotland, other Presbyterian churches, and also the registers of the Religious Society of Friends (Quakers). These parish registers cover a wide range of dates (from 17th to 19th century) and many of them are not to be found in any other record source.” Information listed in these records may include names, family relationships, dates and places of events and details of the parish.

U.S. LUTHERAN CHURCH RECORDS. Baptism, confirmation, marriage and burial records from more than 2000 congregations of the Evangelical Lutheran Church of America (1875-1940) are now on Ancestry. These have been available on Archives.com but have migrated to its parent site. “The information…varies from congregation to congregation (and sometimes from minister to minister). In some ethnic congregations, you may run into records in German, Danish, or some other language….Within the collection you may also find membership records, with some listing the names and dates of admission, communion records, and how they were received into the church.”

Google tip of the week: If you see a record collection online but don’t have a subscription to the website that hosts it, Google the name of the database. See whether a free site (like FamilySearch) or another site to which you do have access also hosts the same data set or a similar one. Can’t find it? Click on the description of the record collection (you can generally read the description even if you can’t search the records themselves) and read its source. It may come from a book or a resource that’s been microfilmed–something you can search for on WorldCat and borrow to a library near you.
