What the U.S. Federal Government Could Learn from Genealogists

In my book The Genealogist’s Google Toolbox I emphasize how to use Google to determine what is already available and free online before investing your limited time and money in offline family history searching.  Smart genealogists allocate their resources wisely, getting the most bang for their buck. And collaboration between individual genealogists allows us to accomplish even more.

Money down the toiletIt looks like the U.S. Federal Government could learn a thing or two from savvy genealogists. The Washington Times is reporting that Congress’s auditor has discovered that our tax payer money given to the federal government isn’t being spent very wisely. (Imagine that!) Agencies fail to collaborate and share information, creating redundancy and overspending.

One example from the article: the Commerce Department “has been charging other government agencies millions of dollars for reports that the other agencies could just as easily have gotten online, for free – often with a Google search.”

This news makes it even harder to swallow the news that the National Archives and Records Administration (NARA)  is suffering reduced hours of service due to budgetary issues.

The Bottom Line:
Google Twice, Pay Once (and only if you have to!)

Bill in Athens, TX is looking forward to having his wife bake a batch of the Sour Cream Drop Cookies recipe that I shared in episode 2 of Elevenses with Lisa. (Click here to get the recipe and hear the story of genealogical serendipity that led to its discovery.)

Recipes from long ago often don’t include all the details we’ve come to expect in today’s recipes. Here are Bill’s questions and my answers: 

Q: What oven temperature have you found works best? 

A: 375 degrees.

Q: About how many cookies does this recipe make?

A: Using a teaspoon to drop the rounded cookies on the sheet yielded about 2 dozen. I froze half the batch, and they defrosted nicely.

Consensus on the Show’s Name

Many, many viewers chimed in on whether or not to keep or change the name Elevenses with Lisa. The overwhelming consensus was to keep the name. And now I can tell you, that’s what I wanted to do. Thank you to everyone who sent messages!

Part 3 of How Alice the Genealogist Avoids Falling Down the Rabbit Hole

Here’s a quick recap of what we covered in Episode 3:

1. Use a Cloud-Notetaking Service

Get a free Cloud note-taking tool and use it consistently. (Examples include Evernote, OneNote, and Google Keep.)

Use the website, software, and/or app to capture unexpected finds while researching. Both Evernote and OneNote work on all platforms.

Your notes in your account will synchronize between your devices (depending on the program and plan you choose.) You can add to your notes or work with them anytime, anywhere.

2. Schedule BSO Time

I use Google Calendar to stay organized and schedule my BSO time. Create a BSO calendar, and then schedule BSO time on your calendar. These will help you remember to follow up. Knowing you have set aside time in the future to explore the BSO helps you mentally let them go and stay on track with your research plan.

Success comes from pairing your research plan and process with a great supportive research environment. We have a variety of “environments” we work within such as:

  • On our mobile devices

Let’s look at how we can set up a workflow for BSOs while mobile computing.

My two favorite methods for capturing BSOs on a smartphone or tablet are 1) Cloud Notetaking, and 2) Home Screen “Bookmark Apps”.

Option 1: Cloud Notetaking

I’ll be using Evernote on an iPhone as an example. (You may see slight variations in the instructions depending on the service you use and your device.)

Evernote is a great choice if you want to easily sync and use your notes on all devices including your desktop computer and / or laptop computer.

Before you begin, you’ll need a free Evernote account at evernote.com. You’ll also need to download the free Evernote app from your device’s app store, and log into your account.

When you come across a BSO while researching online in a web browser (such as the Chrome or Safari app), here’s how to capture it:

  1. Tap the Share icon on the web page.
  2. Select Evernote from the menu. If you don’t see it tap More for the complete menu of available apps.

    If you still don’t see it, make sure you have downloaded the app.

  3. The app will open and should open a new note. Edit the note as desired.

  4. Tag the note with the “BSO” tag, as well as any other tags you find helpful.

  5. Tap Save.
  6. The note is now saved to Evernote. If you are on WiFi, Evernote will synchronize so that the note will be available from any device signed into your Evernote account.

Option 2: Home Screen “Bookmark Apps”

Keep in mind that these aren’t the same as “Bookmarks” found in your web browser apps. I call them “Bookmark Apps” because they do save a particular web page, and they look just like apps. In the menu this feature is called “add to home screen.”

Bookmark Apps are best for when you plan to do your BSO follow up on the same mobile device.

How to capture a BSO as a Bookmark App:

  • In your browser app, when you come across a BSO web page, tap the share icon.
  • Tap Add to Home Screen.

  • Edit the title so it will be easy to remember why you wanted to follow up on it.
  • Tap Add (iOS – this may be different on Android, or different browsers)
  • The web page “bookmark app” is now on your home screen.

Once you have created at least two BSO bookmark apps, you can then create a folder.

How to create a folder:

  • Move the bookmark app by pressing and holding it until it shakes.
  • Keep your finger on it and drag it onto the other BSO bookmark. This will create a folder.
  • Name the folder “BSO”.
  • Press the home button to save.

Now whenever you have some spare time you can tap the BSO folder and get back to one of those items that previously caught your eye.

Family History in the Annual Christmas Letter? What a Great Idea!

Why not share the gift of family history story in this year’s Christmas letter or holiday cards?

Genealogy Gems podcast listener Catherine just sent in this fantastic idea about including family history in her annual Christmas letter. I thought I’d share it while it can inspire those whose holiday cards or letters are still on their “to-do” list. (Already done? Think about it for next year!) Here’s what she wrote:

“I’ve always been intimidated by the idea of writing [family history]: where to begin, what to write about, what to include, how to say it. When it was time to sit down and write the family Christmas letter and not having much to report, it struck me.  Why not write a family history letter to the cousins about our common maternal Grandfather?

It may not be an original idea but it was new to me, so, deep breath, I took the plunge and the result was a letter that I truly enjoyed writing. I included some fun facts from immigration records and census information, family pictures, a couple of stories and even Google Earth pictures from my Gramp’s birthplace in ‘the Old Country.’ I sourced the letter and added webpage links in case I hooked someone into wanting to know more.”

Thank you Lisa for speaking about Google Earth Pro and my new best friend, Evernote for Genealogy! I can’t wait to see what the family reaction will be. I’m planning some follow up letters and may even go for the big one (gulp)–a blog! New York State Death Index Online for the First Time!

The New York State Death Index (1880-1956) is online for the first time! Also: letters of complaints to the city of Sydney, Australia; marriage records for Indiana, Iowa, Nebraska, and Washington; and the newspaper of a historically black North Carolina university. Coming soon: a major new online archive for Ontario, Canada.

For the first time, the New York State Death Index (1880-1956) has been made available online–and it’s free! The nonprofit advocacy group Reclaim the Records won its case that this index should be made available as free public records. According to the organization’s announcement, the index isn’t completely statewide: New York City death records were maintained separately, and Yonkers, Buffalo and Albany are not included until 1914 or 1915. The index for 1880 and 1881 is sparse, as record-keeping wasn’t good yet, and the index for 1943 is difficult to read. And it’s unclear whether those who died at some state institutions were included. The link above takes you to each year’s index on Internet Archive.

Australia: Complaints to the City of Sydney

Over 56,000 letters written by residents to the City of Sydney in the latter part of the 1800s have been digitized and added to the City of Sydney Archive online. A city historian quoted at the Daily Telegraph.com said people’s complaints “range from the mundane to the bizarre,” such as “foul smells, night time noise, stray farm animals and smoke billowing from homes and blacksmiths’ forges.” This same online city archive also hosts a collection of historical photographs, a full run of Sands directories, postal directories, and other resources for researching your house history. Find this collection by clicking Archives Investigator and then “Letters Received by Council, 1843-1899.”

Canada: New Ontario collections planned

Findmypast and the Ontario Genealogical Society have announced a new partnership that will bring millions of Ontario records online. According to a Findmypast announcement, “The first phase will be launched later this year with the online publication of over six million fascinating Ontario records, including:

  • The Ontario Name Index (TONI) – over 3.7 million records – a mega-index of names with the goal of including every name found in any publication relating to Ontario, ranging from registers of birth, marriage & death to obituaries, memorial inscriptions, newspaper articles and more.
  • The Ontario Genealogical Society Provincial Index (OGSPI) – over 2.6 million records – containing data from censuses, birth, marriage and death registers, references in books, land records, passenger lists, military records and a host of other references.
  • Oddfellows Life Insurance Applications (1875-1929) – over 240,000 names released online for the very first time, containing a collection of just over 59,000 life insurance applications to the Odd-Fellows’ Relief Association of Canada. The applications contain answers to up to thirty-one questions about sex, age, occupation, height, weight, ethnic origins, marital status, family structure, and past and present health conditions.
  • Ontario Genealogical Society Bulletin/Families and NewsLeaf – new images from official society publications and journals will become available to search through Findmypast’s Periodical Source Index (PERSI) – the largest subject index to genealogy and local history periodical articles in the world.”

US: North Carolina university newspaper

Several issues of the student newspaper for Johnson C. Smith University are now online at DigitalNC. “Johnson C Smith University, a historically black university in Charlotte, NC was founded in 1867 as the Biddle Memorial Institute,” explains a Digital North Carolina blog post. “The name was changed to Johnson C Smith University in 1923 after a benefactress’ husband, shortly before the available run of papers were published.” Online editions span 1926 – 1930.

US: Marriage records: NE, WA, IN, IA

Ancestry.com has published a new index of Nebraska, Marriage Records, 1855-1908 with over 1.4 million records. It includes indexed images of records that generally include the couple’s names, birthdates, birthplaces, parents’ names and date and place of the wedding. Also new on Ancestry.com is Washington, State Marriage Indexes, 1969-2014, described as “a statewide index to over 3.9 million marriages that were performed in Washington between 1969 and 2014.” It includes only the names of the couple, date of the wedding, and county.

The site has also recently updated marriage records collections for the states of IndianaIowa and an update to Washington, Marriage Records, 1854-2013, described as “images of and indexes extracted from various records of marriages in Washington” from the state archive (and, with over 10.5 million records, likely overlaps with the above new collection).
